1. What kind of work do you transcribe?

 

We can handle all kinds of transcription work, including, but not limited to: dictation, interviews, business meetings, conference calls, press briefings, trade conferences, lectures, legal transcription, medical research, market research, focus groups, radio and video shows, radio and other media interviews, surveyor’s reports, panel discussions, sermons, seminars, etc. We undertake transcription work for professors, teachers, students, insurance professionals, financial professionals, doctors, psychiatrists, market researchers, journalists, market researchers, and many more.

 

2. Where are your transcribers located?

 

Our rigorous recruitment procedure means we use select the most competent and qualified transcribers to work with us. We have a great team of highly skilled transcribers, all located around the UK for our English transcription service. This is a definite advantage when it comes to transcribing your work, you can be assured that if any audio file contains those sometimes tricky regional accents, we will have a transcriber local to that area with an excellent understanding of the local area and its accents and dialects. Our foreign language transcribers are located worldwide.

 

3. Which audio formats can you transcribe?

 

We work mostly with digital files which can come in many formats, including DSS, MP3, WAV, WMA, DVF, MOV, ZVR, AMR. We can also accept your iPhone and other Smartphone voice recordings. Digital files are our preferred method of obtaining recordings, as they are so easy to distribute and organise, and can be sent and received from anywhere in the world within minutes. We can also work with analogue recordings in the form of standard cassettes, mini-cassettes or discs, which can be sent to us by Royal Mail Recorded Delivery or courier. If you have an audio file on a tape or disc, you can send it to us and we will convert it into a digital file for a fee. Whatever your file format, we will help you get it transcribed.

 

4.How much will it cost?

 

We like to keep our cost structure as simple and transparent as possible. Prices are based on the turnaround time required and number of speakers. The price you pay is the price advertised on our website. Our current lowest transcription price is £0.75p per minute of audio for a turnaround of 1 week with 1 speaker, though there are many other service level options depending on your business needs. We charge per audio minute, i.e. per recorded minute, rather than an hourly rate; this helps you to cost each individual job or project accurately.

 

5. Why are your prices so much lower than other transcription services?

 

First of all, we keep our overheads low. Since most of our transcribers are home-based, we do not have any costs associated with office space or any other capital costs. We keep our costs as transparent as possible – there are no hidden fees or charges and the price you see on our website is the price you pay. Our pricing structure is simple and easy to understand – many other companies have very complicated pricing models that can cause confusion, with various prices for audio quality, proofreading, turnaround times. There are no hidden fees or nasty surprises. Our aim is to secure a long-term business relationship with our clients and to seek referrals from satisfied clients.

 

6. How will you keep my sources confidential?

 

You can be assured that your work is safe during upload and storage as we use the latest security and encryption technologies. Our secure website contains the highest level encryption, with SSL 128 bit encryption being used throughout. All transcription work we undertake is kept in the UK and not outsourced to any other country. Any personal data held by our organisation is processed in accordance with the Data Protection Act 1998. We adhere to a strict policy of deleting all work from workstations and servers 7 days after returning completed work to a client. It is a strict requirement that all our staff sign our company confidentiality agreement and contract and are regularly reminded of their contractual obligations to meet these requirements. If you have your own confidentiality contract that you wish us to sign, we will be more than happy to do so.

 

7. How long does it take to transcribe an audio file?

 

It depends on the length of the file, the number of speakers and the quality of the audio. An hour of good, clear audio will generally take a skilled typist three to four times that amount of time to transcribe.

 

8. How do I get started?

Once these are agreed, you can upload your audio files on our secure file upload page on our website and your work will be returned to you within the specified time limit.

 

9. How do I pay?

 

We do not ask for any payment up front. We will email you with your completed transcript within the specified timeframe. For ad hoc work, we will invoice you when the work has been completed and ask for prompt payment. For our regular clients, by arrangement, we will invoice once a month, at the end of the month, and payment terms are 14 days from the date of the invoice.
You can pay by bank transfer or PayPal, and by credit or debit card via PayPal. Full details of how to pay will be on the invoice.

 

10. Can you handle large projects?

 

We certainly can. We have a large pool of transcribers with experience in many different fields, such as legal, media, medical and many other specialised areas, and another large pool waiting to join us. We can handle projects of any size and duration.

 

11. How long will it take to return my completed transcripts?

 

We offer a turnaround to suit all business needs and budgets. Our transcribers are on hand 24/7 to deliver your files when you need them. As well as our standard service of 1 week, 72 hours and 24 hours turnaround, we also accommodates urgent turnaround such as sameday, weekend, overnight and a bank holiday service.

 

12. How do l get my work back?

 

All work is returned to you by email as a Word document unless requested otherwise. We can print your document and send it out to you if you prefer for an additional charge.

 

13. What will it look like?

 

We will use our own standard template for completed work. However, if you have your own template or any particular layout requirements we will be more than happy to use them.

 

14. How do you ensure quality control?

 

We expect a very high standard from our transcribers and pride ourselves on delivering transcripts that are well-typed, well-formatted and accurate. All our transcribers must meet certain minimum standards, which includes a fast typing speed, good listening skills and a high standard of English with excellent grammar and punctuation skills. These skills are tested thoroughly at the recruitment stage before any work is assigned. The listening skills test ensures that we only take on those typists with the best ability to capture every word spoken, an important skill in audio transcription. We provide all typists with a set of guidelines which clearly sets out our standards; these must be strictly adhered to in every file we undertake to ensure consistency throughout any project. We also send regular communications to all our typists, reminding them to uphold these standards and we give feedback on their work. We also read through every file as standard to ensure that quality and accuracy is never compromised.
